Quick definitions of terms used throughout HeyChief.
A
Appointment A type of Job for time-based work that typically happens in one session. See Jobs.
Automation A rule that triggers actions based on events. "When a job is completed, send a review request." See Marketing & Automation.
At Risk A customer segment indicating someone who hasn't visited in 30+ days.
B
Balance due The amount a customer still owes on an invoice. Calculated as total minus payments received.
C
Campaign A one-time message sent to multiple customers. Email newsletters, SMS promotions, etc. See Marketing & Automation.
Channel The communication method: SMS, email, form, review. All channels flow into the Inbox.
Chief HeyChief's AI assistant. Knows your business, can answer questions, draft content, and take actions. See Chief.
Conversation A threaded exchange with a customer across any channel. See Inbox.
Customer Any person or business you provide services to. See Customers.
D
Deposit An upfront payment collected before work begins, often at quote approval. Applied to the final invoice.
Draft An unsent quote, invoice, or campaign still being edited.
F
Fee A line item type for additional charges (after-hours, travel, rush).

Inbox The unified communication hub showing all customer conversations across SMS, email, forms, and reviews. See Inbox.
Invoice A request for payment sent to a customer. See Quotes & Invoices.
J
Job The primary container for work in HeyChief. Every piece of work you do for a customer is a Job. See Jobs.
Job number A human-readable identifier like #1042.
L
Lifetime value (LTV) Total revenue generated by a customer across all their jobs.
Line item An individual service, material, fee, or discount on a job, quote, or invoice.
M
Material A line item type for physical goods you provide or install (parts, supplies, products).
N
Net 30 (or Net 15, Net 60) Payment terms indicating when an invoice is due. Net 30 = due in 30 days from issue date.
P
Partial An invoice status indicating some payment received but balance remaining.
Payment Money received from a customer. Applied to invoices. See Quotes & Invoices.
Pricebook Your catalog of services and materials with standard pricing. See Pricebook.
Project A type of Job for complex work that progresses through stages. See Jobs.
Q
Quote A proposal showing what work will cost. Requires customer approval. See Quotes & Invoices.
R
Request A Job status indicating a customer has inquired but nothing is confirmed yet.
S
Segment A group of customers sharing a characteristic. VIP, At Risk, New, etc. See Customers.
Sequence A series of automated messages triggered over time. Part of a welcome flow, follow-up series, etc.
Service A line item type for work you perform (labor, expertise, time).
Snooze Hiding an Inbox conversation until a specified time, when it resurfaces.
Status Where a job, quote, or invoice is in its lifecycle. See specific concept pages for valid statuses.
T
Tag A label you apply to customers for organization and targeting. "Referred by Mike," "Commercial," "VIP."
Terms Payment terms on an invoice: due on receipt, net 15, net 30, net 60.
U
Unit How a line item is priced: each, hour, visit, square foot, linear foot.
V
VIP A customer segment indicating high lifetime value (typically $500+).
Void An invoice status indicating it was canceled and no longer counts as receivable.
